Printer leasing in Australia typically starts from $160/month ex GST for a desktop A4 multifunction device, with custom quoted pricing for higher tiers including enterprise A3 colour multifunction printers.

Key Business Insights

  • Preserve working capital
  • Convert CAPEX to OPEX
  • Generally tax deductible payments (check with your accountant)
  • Latest technology access
  • Comprehensive support
  • Flexible upgrade paths

Lease payments include the hardware, installation, all maintenance, toner and priority support.

Standard lease terms run from 36 months to 60 months, with 60 months delivering the lowest monthly payment.

Monthly and total cost by device type

Typical Australian business lease rates (AUD, ex GST):

  • Desktop A4 mono multifunction: $160 to $220 per month on a 36 to 60 month term.
  • Desktop A4 colour multifunction: $220 to $280 per month on a 36 to 60 month term.
  • A3 colour multifunction: $250 to $400 per month on a 48 to 60 month term.
  • Enterprise A3 colour: custom quoted on a 60 month term.

All maintenance, toner and service is included for the full term.

Toner, parts, service labour and call outs are included in the monthly fee, so the only thing you buy is paper.

Total lease cost varies by finance provider, term length and equipment selected. Request a quote for tailored figures.

The tiers above are national, and they hold outside the capital cities as well, so a regional or outer metro business is quoted against the same bands rather than a location loading. Local pricing detail is set out on pages such as printer leasing in Kwinana and Geraldton printer leasing costs.

For device-specific breakdowns, see our detailed answers on how much it costs to lease an office printer, copier lease pricing, and choosing the right office printer for your budget. To weigh the monthly lease cost above against an outright purchase, see whether to lease or buy a printer.

What changes the monthly cost

Three variables shape the quoted price:

Ready to see what you could save?

Many businesses typically save 20 to 30%* on printing costs with a managed lease.

*Based on comparison of total cost of ownership over 60 months for typical SME print volumes (2,000 to 10,000 pages per month). Individual savings vary.

No obligation. From $160/month ex GST on 3 to 5 year leasing agreements, all inclusive.

  • Print volume: Higher monthly page counts move the device into a higher tier, which lifts the quoted monthly fee.
  • Term length: Shorter 36 month terms have a higher monthly payment; 60 month terms have the lowest monthly payment. Final total varies by finance provider.
  • Configuration: Adding finishing options (stapling, hole-punch, booklet finisher, additional paper trays) increases the device cost and the monthly payment.

How much does it cost to lease a copier?

Modern office copiers are multifunction devices that print, scan, copy and fax.

Pricing matches the printer lease tiers above: a small business copier lease starts around $160/month ex GST for an A4 unit, with full A3 colour copiers from $250/month ex GST and enterprise copiers custom quoted to suit volume.

The same maintenance, toner and support inclusions apply.

For a town level example of how an A3 agreement is sized and what it includes, see the A3 printer lease in Port Macquarie page.

Are printer lease payments tax deductible?

Printer lease payments are generally tax deductible as an operating expense for Australian businesses, typically claimed in the year they are paid. Treatment can vary depending on lease structure and business circumstances, so confirm with your accountant before relying on a specific deduction.

The purchase path is treated differently.

The Australian Taxation Office set the instant asset write off threshold at $20,000 for assets costing less than $20,000 that were first used or installed ready for use between 1 July 2025 and 30 June 2026, for small businesses with aggregated turnover under $10 million.

That window has closed, and the threshold for 2026 to 2027 was announced in the May 2026 Budget but is not yet law.

A printer or copier bought above the threshold has its deduction spread over time rather than landing in the year of purchase, either through the small business pool or across the ATO effective life of 5 years for office photocopiers and multifunction printers (published in the Income Tax (Effective Life of Depreciating Assets) Determination 2025, which replaced the withdrawn Taxation Ruling 2022/1).

That difference in timing is one reason many Australian small businesses treat the lease payment as the simpler tax line.

Confirm current year thresholds with your accountant.
